Vendor Registration

The four-night Conference Package dates are July 16, 17, 18 and 19, 2018.

These dates are contracted and cannot be changed. Additional room nights can be purchased.

Vendor Registration Instructions

1.    BEFORE YOU REGISTER:
It is recommended you arrange your Airline/Flight reservations from your departure city to / from Nassau, Bahamas (NAS) using the preferred airline carriers listed on the web page under the ‘Travel’ tab prior to registration.

When to Arrive
Our Conference officially kicks off on Monday, July 16th at 6:00pm with the Welcome Reception.  Be cautious when booking your flights if you plan on making it to the Welcome Reception, as some flights do not arrive until later in the evening.

Our annual Golf Tournament is on Monday, July 16 at 7:00am. If you plan to participate, you will want to arrive on Sunday, July 15 and book an additional night at the hotel.


2.    ENTER EMAIL, SELECT REG TYPE:
Please read carefully to avoid duplicate hotel room entries.  You must be 18 years of age and hold a major credit card in order to reserve a room.

Main Contact Registration Type
The onsite primary contact should register himself/herself first, as the (Diamond/Platinum/Gold/Silver/Bronze/Basic) “MAIN CONTACT.” You will provide the hotel arrival and departure dates. Reminder: The package dates are July 16, 17, 18 and 19 and are not changeable. If you plan to golf, be sure to add July 15.

Additional Staff Room Packages and Badges are available as follows:

Exhibitor Staff Room Package Only
The number of additional staff badges varies with each sponsorship. The hotel limits room occupancy to four (4) people. Select the "Exhibitor Staff Room Package" registration type for staff members who do not wish to share a room or if you wish to bring additional staff or guests outside the designated amount of rooms given. This will be a room only.  

Note: You will enter a registration discount code depending on how many rooms are included in your sponsorship package.

Additional Staff Badge Only
Another option to register is “Additional Staff Badge Only” – which will not make you a room reservation (we will assume at this point you are sharing a room or have reserved a room package), but can be used in lieu of a staff member bringing family members who wish to attend the events. We aim to eliminate duplicate hotel room entries.

3.    PERSONAL INFORMATION & EMAIL ADDRESS: 
Enter your personal information on the next section. Please use the correct email address. If you are an assistant completing this on behalf of your associates, please DO NOT put your information. In this case, please use the "Completing this on behalf of another registrant" email field so that you will be cc'd on all correspondence. This will ensure that we have the correct contact information for the registered attendee.

4.    AGENDA: 
Confirm you plan on arriving on or before Monday, July 16th. If you plan to participate in the golf tournament on Monday at 7:00am, you will need to arrive on Sunday. 

This is where you will confirm whether you need a room, are sharing a room, or are a third person in a room and just need a badge. There will be an additional charge for this extra room night in addition to your package price.

You will see our planned agenda on a schedule so you can plan out your week in the Bahamas. Select the events you plan to attend.

5.    HOTEL INFORMATION: 
Enter your hotel arrival and departure dates. (If you are sharing a room with another REGISTERED attendee, your hotel information will not be collected.) If you are not prompted to collected arrival and departure information, you have NOT selected that you need a room reservation for yourself.

*NOTE - if you purchase additional nights before or after the set conference dates of July 16, 17, 18 and 19, the total will be calculated in the final invoice as an average daily balance (minus the 4 nights covered under your hotel package).

6.    CHECKOUT: 
Here you will enter either your credit card information and submit payment.

7.    CONFIRMATION: 
You should receive a printable confirmation page with a bar code on it, as well as a link to make edits to your registration, after you have completed the registration process successfully. We will periodically send out reminders and updates on the conference, so be sure to use the email address we will need to keep open communication with you.

Additional Room Nights - $400*

If you wish to extend your stay at the Atlantis either before or after the conference package dates, additional room nights are available at $400 per night on July 13, 14, 15 and 20, 2018, based on availability. You must book no later than April 30, 2018 to secure this rate. The $400 rate includes the Daily Resort Fee of $49.95 plus VAT per room per night. Gratuities not included. See above for details. (Note: All Golf Tournament participants will need to book Sunday, July 15, 2018 in order to golf Monday at 7:00am.)

Guests and Kids Club

All attendees, including those sharing accommodations that are 12 years of age or older must register separately as a GUEST (up to two (2) guests per room. (Note: Hotel strictly enforces no more than 4 persons in a room. There is an additional charge of $50 per day for 3rd and 4th persons, 12 years of age and older).

Co-workers or associates in the industry do not qualify as Guests. They must register with a full 4-night conference package. 

Guests are welcome to participate in the Welcome Reception, General Sessions, Keynote Sessions, Vendor Trade Show, and the Awards Night Dinner. 

Kids Club for Ages 4 to 11

The Conference is a family-friendly event. Attendees and Vendors are welcome to bring their children. All children planning on participating in the breakfast buffets, lunches and Gala Awards Dinner will need to purchase a full Guest conference badge ($350).

The hotel property acknowledges the Kids Club from 4-11 years of age.  Activities and kids-specific food functions will be provided during Conference hours, INCLUDING during the Vendor Tradeshow and Final Night Awards Dinner to those children registered. If you wish your child to NOT attend the Kids Club during any of the posted times, or if your child has specific food needs, please acknowledge under *Additional Comments section of registration.

Online credit card payments are accepted for all registrations and sponsorships. Should you need to make special arrangements, please contact us by email.

Cancellation and Refunds

You may cancel and expect a full refund up until June 8, 2018. Notice of a cancellation must be sent in writing to UME Productions' Registration Department.  Cancellations after June 8, 2018 will be deemed non-refundable.

Allowable refunds are not made until after JIBNFA has settled all accounts and obligations, no sooner than 60 days following the close of the conference on July 20, 2018.
